Export Formats Explained

PDF Format

Best For: Executive reports, board presentations, stakeholder distribution, formal documentation

Advantages: Cannot be edited (audit trail), consistent formatting across devices, suitable for printing

Excel Format

Best For: Data analysis, filtering, pivot tables, custom calculations, chart creation

Features: Structured data in worksheets, formulas, filtering, sorting, conditional formatting

Use Cases: Risk trend analysis, compliance tracking, KRI performance analysis, custom reporting

Advantages: Flexible data manipulation, custom calculations, integration with other Excel tools, multiple worksheets

CSV Format

Best For: Raw data export, system integrations, data imports, automated processing

Features: Plain text comma-separated values, universally compatible, lightweight

Use Cases: Data warehouse exports, third-party system imports, bulk data processing, archival

Advantages: Simple format, no proprietary software required, easy to parse programmatically, smallest file size

Best Practices

DO: Best Practices
  • Schedule regular reports - Automate monthly board reports, quarterly compliance reports, weekly KRI summaries
  • Use appropriate format - PDF for stakeholders, Excel for analysis, CSV for system integrations
  • Set realistic date ranges - Last 30 days for operational reports, quarterly for trend analysis, annual for strategic
  • Include relevant sections only - Executives need summaries (exclude detailed data), analysts need detail (include all)
  • Review before distributing - Always review generated report for accuracy before sending to stakeholders
  • Version control reports - Name files with date and version (e.g., "Board_Report_2025-10_v1.pdf")
  • Archive historical reports - Store reports for 7 years minimum for compliance and audit purposes
  • Refresh data before generating - Click "Refresh" to ensure latest data included in report
DON'T: Common Pitfalls
  • Generate without reviewing parameters - Risk: Wrong date range, incorrect format, missing sections, unusable output
  • Use CSV for stakeholder reports - Risk: Stakeholders cannot easily view data, no formatting, unprofessional appearance
  • Include all sections for executives - Risk: Information overload, executives miss key insights, report not read
  • Set unrealistic date ranges - Risk: No data returned (too short), too much data (too long), irrelevant information
  • Share reports via insecure channels - Risk: Data breach, unauthorized access, compliance violations (use secure email/SharePoint)
  • Forget to schedule recurring reports - Risk: Missed deadlines, manual work burden, inconsistent stakeholder communication
  • Generate reports with stale data - Risk: Inaccurate information, poor decisions, loss of stakeholder trust
  • Delete report history prematurely - Risk: Cannot reproduce reports, compliance issues, lost audit trail

Common Workflows

Objective: Prepare comprehensive monthly report for Board of Trustees meeting.

Steps:

  1. Generate Board Dashboard: Click "Stakeholder Reports" → "Board Dashboard" → Select "PDF" format.
  2. Set Date Range: Set "From" to first day of previous month, "To" to last day of previous month.
  3. Include All Sections: Check Charts, Detailed Data, Comments (board needs complete picture).
  4. Generate Report: Click "Generate Report" and wait 30-45 seconds (comprehensive report).
  5. Review Output: Open downloaded PDF and verify all sections complete (Top Risks, Compliance, KRIs, Incidents).
  6. Add Executive Summary: Prepare 1-page executive summary document highlighting key insights and action items.
  7. Version Control: Rename file to "Board_Report_2025-10_v1.pdf" (include month and version).
  8. Distribute: Upload to secure board portal or send via encrypted email 3 days before meeting.
  9. Archive: Save copy to shared drive under "Board Reports/2025/October" for compliance record keeping.

Best Practices:

  • Schedule automatic generation 5 days before board meeting (allows review time)
  • Include trends comparing to previous 3 months (show progress)
  • Highlight any critical issues requiring board attention in cover memo
  • Prepare presentation slides summarizing key report findings

Objective: Analyze risk trends over quarter to identify patterns and emerging risks.

Steps:

  1. Generate Risk Register: Click "Risk Reports" → "Risk Register" → Select "Excel" format (for analysis).
  2. Set Quarterly Range: Set "From" to first day of quarter (e.g., Jan 1), "To" to last day (e.g., Mar 31).
  3. Generate and Download: Click "Generate Report" and open Excel file when downloaded.
  4. Create Pivot Tables: Analyze risks by category, department, severity, treatment status.
  5. Identify Trends: Look for increasing risks in specific categories, departments with most risks, overdue treatments.

  7. Same Date Range: Use same quarterly date range for consistency.
  8. Combine Analysis: Use Excel data for detailed analysis, PDF report for visual trends and charts.
  9. Document Insights: Create PowerPoint summarizing key findings: top 3 emerging risks, risks trending down, action recommendations.
  10. Present to Risk Committee: Schedule Risk Committee meeting to review findings and approve action plans.

Key Metrics to Analyze:

  • Number of new risks identified vs. closed (net risk exposure change)
  • Risk severity distribution changes (are high risks increasing?)
  • Treatment completion rate (on-time vs. overdue)
  • Risk concentration by department (which areas need focus?)
  • Compliance risk trends (regulatory changes impact)

Objective: Prepare compliance report for regulatory submission (e.g., Bank of Zambia, PIA).

Steps:

  1. Review Regulatory Requirements: Check regulator's specific requirements (format, sections, date range, frequency).

  5. Generate Report: Click "Generate Report" and review downloaded PDF.
  6. Verify Completeness: Check all regulatory requirements covered: compliance score, control effectiveness, audit findings, remediation status.
  7. Add Supporting Documents: Attach evidence documents: control testing results, audit reports, management responses, action plans.
  8. Executive Sign-Off: Obtain CEO and Risk Officer signatures on transmittal letter.
  9. Submit via Required Channel: Upload to regulator's portal or submit via registered mail (keep proof of submission).
  10. Archive Submission: Save complete submission package (report + attachments + transmittal) for 7 years minimum.

Compliance Submission Checklist:

  • ☑ Compliance score meets regulatory minimum (usually ≥ 95%)
  • ☑ All high-risk compliance issues documented with remediation plans
  • ☑ Control effectiveness scores provided for each control type
  • ☑ Audit findings include management responses and action plans
  • ☑ Report covers required time period exactly (no gaps or overlaps)
  • ☑ Executive sign-off obtained on transmittal letter
  • ☑ Supporting evidence documents attached
  • ☑ Submission deadline met (submit 3-5 days early for review)

  4. Choose Specific Timing: Set specific day (e.g., "First Monday of month") and time (e.g., "9:00 AM") for generation.
  5. Select Format: Choose "PDF" for stakeholder distribution (formatted, cannot be edited).
  6. Configure Date Range: Set to "Previous month" for monthly reports, "Previous week" for weekly, "Previous quarter" for quarterly.
  7. Add Recipients: Enter email addresses of recipients (separate with commas). Example: "board@napsa.co.zm, ceo@napsa.co.zm, risk@napsa.co.zm".
  8. Customize Email: Optionally add custom subject line and message body for email notification.
  9. Enable Schedule: Check "Enable automatic generation" to activate schedule.
